What is a brand deal tracker?
A brand deal tracker is a place to log each sponsorship or UGC job and see where it sits, from first contact to payment.
Poppi is that tracker for creators and UGC freelancers who run the work themselves. It is not built for a marketing team. You keep every deal in one workspace: who it is with, what you owe them, what they owe you, and whether the invoice has been marked paid.
What you can track
Poppi's pipeline has five stages, and only these five. You cannot add your own.
- Prospecting. A brand has written to you, or you have pitched. Terms are not agreed yet.
- Negotiating. You are still settling deliverables, usage and the fee.
- Contracted. The terms are agreed. You can store the brief and the contract on the deal, and mark the contract signed. Poppi does not write the contract, and it does not e-sign it.
- In Progress. You are making and delivering the work.
- Completed. The work is done.
Completed means the work is done. It does not mean you have been paid. Quoted, Invoiced and Paid are badges on the deal, not extra stages. A deal can be In Progress and already invoiced, or Completed and still unpaid. Record the money by marking the invoice paid. Paid is not a sixth stage.
On the deal itself you can keep:
- the brand, including contacts, documents, notes and a colour, and you can filter the workspace by brand
- the value and the currency
- the status, and the start and end dates
- notes, the brief, and contract files
- deliverables and line items: split the deal value across them, set a fixed amount, or use a line as a checklist with no value
- the payment details that print on the invoice: bank deposit, PayPal, SWIFT, or a custom method
Brands and deals are unlimited on the one plan. Today it is one workspace per creator.
From quote to paid
When the deal is in Poppi, you can make a quote or an invoice from it and download the PDF. You send that PDF yourself. Poppi does not email the invoice for you.
There is no card checkout and no payment processor on the invoice. The PDF shows how you want to be paid. When the money arrives, you mark the invoice paid. If you want the figures outside Poppi, you can export your data, including a revenue CSV. Poppi is not accounting software, and it does not track expenses.

Not a spreadsheet, not a scheduler
A spreadsheet can list deals. It goes stale, because nothing else depends on the row being right, and the quote usually lives in another file from the invoice. In Poppi the quote and the invoice come off the deal, so the brand, the line items and the value are not retyped into a fresh document each time.
Poppi does not schedule or publish posts to Instagram, TikTok, YouTube, or any other platform. There are no social platform integrations. You plan the post in a week or month view, with the copy, the date, the media and private notes the client does not see. You send a preview link. The client can approve it or leave feedback without a Poppi login, and you are notified in the app and by email. Then you post it yourself, or with your own scheduler.
Team features are coming soon. They are not live. Today it is one workspace per creator.
